Prepare settings, capture both feet, complete the form, and confirm upload.
This SOP explains how to prepare the Podform3D mobile app, capture accurate left and right foot scans, and submit the order successfully. It is designed to help team members complete scans consistently, avoid common setup errors, and confirm that the scan has uploaded properly.
Confirm device compatibility and install the app
Use the Podform3D mobile app on an iPhone or iPad only. Confirm the device has the TrueDepth front camera. Download the app from the App Store before starting, and do not use Android or unsupported devices.

Open the app and log in with the same credentials as the portal. Select the correct Clinic, Location, and Clinician or user context before scanning. Verify these choices on shared devices so the scan is filed under the right clinic.

Decide whether the scan will use a mirror clip. Use the mirror clip for direct foot scans, especially for newer operators. For foam box or glass workflows, treat the mirror clip as optional and confirm the setup before scanning.

If a mirror clip is installed, turn Mirror Installed on. If no mirror clip is installed, leave Mirror Installed off. This setting is critical because the mirror flips the scan left to right, and the wrong setting can block processing later.

Choose the scan preset that matches the workflow. Options include Semi-weight bearing foam box, Non-weight bearing direct foot scan, and Semi-weight bearing through glass. Confirm the method before starting because it changes both the interface and how the scan is processed.

Leave Scan using beta version turned on unless the clinic has been told otherwise. This keeps the operator on the latest scan version and acts as a fallback safeguard. Recheck this setting after app updates or full app restarts.

Tap New Order and enter the required patient information. First name and last name are mandatory. Patient ID and birthday are optional references, and simple text is preferred to special characters or unnecessary numbers.

Select either the left foot or right foot to begin. Use a consistent order across scans to improve repeatability. Scan both feet whenever possible, but one foot is enough to proceed to the next step if required.

Align the foot and phone as parallel as possible. Keep the foot relaxed and still. Use the on-screen guide dots and wait until the indicators show the app is ready, because the first frame strongly affects scan quality.
Reference view at 9:32. Verify the capture area and start scanning
Confirm the foot is centered and the capture area looks correct. Green means data is being captured and saved. Red is visible to the camera but excluded from reconstruction, and the background is not used as input. Tap the green start button only when positioning is correct.

Use the delay button to delay capture, the X button to stop and return, and the distance modifier only if the foot is too large or too small in the frame. Leave the distance modifier at default unless the foot does not fit well in view.
Reference view at 13:16. Maintain slow, steady movement during capture
Move the device slowly and steadily while scanning. If the app warns you to slow down, reduce speed immediately. If the app stops the scan automatically, restart and rescan when needed, prioritizing data quality over speed.

After the first foot is complete, repeat the same process for the other foot. Review the scan by zooming and rotating the model. Check for obvious reconstruction problems such as duplicated layers or major defects.

Return to the main screen and confirm both feet are marked as scanned. Tap Fill Order Form to upload the scans and associated metadata. The scan date and device information are attached automatically.

Fill out the order form associated with the account. Use Submit only when the order is complete and final, because it locks clinician edits. Use Save and put on hold to finish later, Discard to save nothing and leave the order incomplete, or Cancel only when you intend to delete the scans and patient data.
Reference view at 19:20. Verify upload confirmation before leaving
Wait for the upload confirmation and the second validation on the action button or order status. If weak Wi-Fi or upload failure appears, move closer to the modem or stronger signal area and retry. Do not decline retry unless you are prepared to lose the scan, because there is no local save for later upload if the scan is abandoned.
