Antoine Berube presents this video as a general introduction to the Podform3D portal. The goal is not to detail every feature. It is to give an overview of the portal, its logic, its structure, and the reference points needed for first use. The video was recorded on April 22, 2026, and the portal can evolve quickly.

The portal is presented as an OMS, or Order Management System. It centralizes orders, provides a reliable data source, and tracks orders from start to finish. Its key distinction is that it connects to a manufacturing system so an order can move directly to printing.

This demonstration shows the administrator view, not the clinician view. It is intended for people who have full access to the lab or manufacturer account. The clinician view is simpler and more limited.

In the top left, the edit icon opens the basic lab account information. Keep the official name, address, and main contact information up to date. This information is used in automatically generated documents. You can also define separate billing and shipping addresses.

When the account is created, a linked clinic is created automatically. The lab can therefore produce for itself through this default clinic. If it wants to produce for other clinics or service points, it can add a new clinic after validating the lab information.

Lab information is copied into the clinic by default, but the clinic offers more options. You can define a different name, the name lines printed on orthotics, authorized products, address, billing, and shipping. Think carefully about the name displayed on orthotics because it will be printed exactly as entered.

The hierarchy starts with Podform3D, then the administrative or lab account, then clinics, locations, and clinicians. A clinic can represent one entity or multiple locations under the same name. If two groups have no administrative or billing relationship, create two separate clinics.

Inside one clinic, users can choose their clinician and location while staying in the same billing cycle. Between two different clinics, access is separated and users do not move from one account to the other. This separation protects management, billing, and confidentiality.

When a clinic is created, the portal shows a preview before final confirmation. Review the information carefully before clicking Add Clinic. Important point. Once a clinician has been created and used in orders, that clinician can no longer be deleted.

One clinic can have multiple locations to distinguish service points in different cities or regions. The admin account sees everything, a clinic sees its locations, and clinics do not see each other.

A user corresponds to one unique email address. That email is used for platform identification, and a real address is recommended to validate the initial authentication. You can then add other users to give access to other people.

To give access to a clinic or employee, copy an invitation link and send it to the relevant person. That person then chooses their email, password, and activates the account. They will have access only to the clinic assigned to them.

The portal provides drop-down menus to filter data quickly. Views such as Ticket View or Finishing View help display only the columns needed for the current work.

The Printer section shows the printers linked to the account. You can review their status, current orders, and print options. This function is reserved for lab administrator mode.

The portal includes a communication tool for speaking with Podform3D about bugs or technical problems, and for exchanging messages with clinics. The admin account can receive messages from clinics and send a message to one or more clinics.

The search tool can find an order by first name, last name, birthdate, order number, status, or creation date. The order number is the unique Podform3D ID. If filters remain active, they can hide results and should be reset.

The portal lets you create an order form or template. You choose a product and then the requested modifications. This template can then appear as the default model during prescription. Check regularly that it stays up to date.

You can select multiple orders at once to run grouped actions. Every action then applies to all selected orders. The number of selected orders appears at the bottom left. Check it before confirming.

When a grouped action is applied, the portal asks for confirmation. There is no undo button. If you change the status of several orders by mistake, the correction must be done manually.

Statuses track the full order lifecycle. The video moves through statuses including Incomplete, Cancel, Hold, Submitted, Processed, In Review, Validated, Q, Printing, Printed, Finish, Delayed, Package, Shipped, Received by Clinic, and Completed.

Some statuses trigger specific actions. An order in Validated can be sent to a printer. An order in Printed must then be moved manually to Finish. The portal can automate some transitions, but the user keeps control.

The portal also tracks billing status, manufacturing type, product type, order number, and patient information. Prescriptions can be open or closed. A closed prescription can no longer be modified directly.

Several documents can be downloaded. Download JSON is for technical support, Download Certificate is for manufacturing or insurance, and Download Prescription is for the paper version. Account information must stay accurate because it appears in these documents.

When a prescription is open, it becomes interactive. It can then be modified, saved, put on hold, submitted, or canceled. This detailed area is covered in another dedicated video.

The Ticket column is used to communicate between the clinic and the manufacturer or lab account. It can flag a problem, comment, special request, or redo reason. It is not the tool for contacting Podform3D.

The scan section shows raw scans and processed scans. They can also be downloaded when needed. Make sure left and right scans are associated correctly.

The portal provides additional filters for locations, clinicians, and important dates. The approximate delivery delay is calculated from the submission date. A patient delivery date can also be added.

Two dates are distinguished. The creation date and the submission date. Internal comments are used to leave internal notes with the author, date, and content. They help preserve a clear history.

The portal stays as scan-source agnostic as possible and can integrate scans from other sources. To create an order from external scans, choose the clinic, location, and clinician, then import the left and right scans. If there is an incompatibility, contact technical support.

An order can be started without uploading scans immediately. The portal can prepare the prescription in advance, but final submission remains blocked until the required elements are present.

The portal provides quick actions to download several items at once. All raw scans, all processed scans, 3D models, labels, and order summaries. Summaries can be exported as PDFs with statuses, billing, and useful groupings.

Manual marking options appear only when an order is at the correct status. The portal guides the user by stage. Submitted leads to manual marking, Processed leads to evaluation, and Validated leads to manufacturing preparation. Each stage links to a dedicated Help Center page.
